Parent Comms and Complaints Pack

The Parent Comms and Complaints Pack helps you handle concerns and complaints fairly and calmly, set sensible communication boundaries, and train staff to respond well. Built by practising school leaders in the HeadteacherChat community.

Updated October 2026 with three new editable Word documents for parents' evening season, each checked against the current DfE and Ofsted guidance on 30 September 2026 and ending with the references used.

• Responding to complaints: letter templates and scripts (autumn 2026). Five letters you can adapt: a holding reply to an out-of-hours email, an acknowledgement of a formal complaint, a stage 1 outcome letter, a letter setting communication arrangements, and a letter closing correspondence once the procedure is complete. Also phone and meeting scripts, and a short check to run before anything goes out.
• Parents' evening checklist (autumn 2026): two weeks before, the week before, the evening itself and the week after, with a section on what to say when a conversation turns difficult, and when to end it
